Event Registration, Cancellation, Credit, and Force Majeure Policy
Scholars to Storytellers retreats are intentionally designed experiences that require substantial advance planning, venue commitments, staffing, and resources. By registering for this Scholars to Storytellers event, you acknowledge and agree to the following terms.
1. Refund Policy
Event registrations and payments cannot be refunded in their entirety within 15 days of the retreat, due to hotel and catering policies. If a participant can no longer attend the workshop due to extenuating circumstances and notifies Scholars to Storytellers 15 days prior to the retreat or earlier, Scholars to Storytellers will work with the participant to issue a retreat credit (details below) or a refund. If the cancellation is within 15 days of the retreat or less, participant will be offered a partial credit or refund towards the tuition component of the retreat (excluding room and board).
Participants are responsible for ensuring they are able to attend the event prior to registering.
2. Event Credit for Non-Attendance
If a registered participant is unable to attend the event for which they purchased a spot, Scholars to Storytellers may allow the participant to apply the payment as a credit toward a future Scholars to Storytellers retreat.
The following conditions apply:
Credits must be used within twelve (12) months of the original purchase date.
Credits may only be applied toward future Scholars to Storytellers events or programs with available capacity.
Credits cannot be redeemed for cash or refunded.
Credits are non-transferable unless approved in writing by Scholars to Storytellers.
If the cost of the future event exceeds the available credit, the participant must pay the difference at the time of registration.
Any unused credit balance expires after the 12-month credit period.
Participants are encouraged to notify Scholars to Storytellers as soon as possible if they are unable to attend the event.
3. Event Changes
Scholars to Storytellers reserves the right to make reasonable changes to event details when necessary, including but not limited to:
Event schedules
Session topics or programming
Event location within the same general region
Speakers, instructors, or facilitators
Such changes do not constitute grounds for refunds or cancellations.
4. Event Cancellation by Scholars to Storytellers
In the unlikely event that Scholars to Storytellers cancels a retreat, participants will be offered one of the following options at the sole discretion of Scholars to Storytellers:
A credit toward a future Scholars to Storytellers retreat, or
A transfer to a rescheduled version of the event, if applicable.
Scholars to Storytellers shall not be responsible for any additional costs incurred by participants, including but not limited to:
Airfare
Lodging beyond the included dates
Ground transportation
Visa or travel documentation
Meals beyond the included
Incidental expenses
Participants are encouraged to make travel arrangements with appropriate insurance or flexible booking options.
5. Force Majeure
Scholars to Storytellers shall not be held liable or responsible for failure or delay in hosting an event due to circumstances beyond its reasonable control. Such circumstances may include, but are not limited to:
Natural disasters (including earthquakes, floods, hurricanes, fires, or severe weather)
War, armed conflict, terrorism, or civil unrest
Government actions, travel restrictions, or public health mandates
Epidemics or pandemics
Labor disputes, strikes, or transportation shutdowns
Power outages or infrastructure failures
Any other event or condition beyond the reasonable control of Scholars to Storytellers
In the event of a force majeure situation that prevents an event from occurring as scheduled, Scholars to Storytellers may, at its discretion:
Reschedule the event, or
Provide a credit toward a future event.
Refunds will not be issued due to force majeure circumstances.
6. Limitation of Liability
By registering for a Scholars to Storytellers retreat, participants agree that Scholars to Storytellerss, its organizers, employees, contractors, speakers, and partners shall not be liable for any indirect, incidental, or consequential damages related to participation in the event, including but not limited to travel costs, loss of income, or personal expenses.
Participation in events is voluntary, and attendees assume responsibility for their own travel arrangements and personal circumstances.
7. Agreement to Policy
By completing registration and submitting payment for any Scholars to Storytellers retreat, participants acknowledge that they have read, understood, and agreed to the terms outlined in this Event Registration, Cancellation, Credit, and Force Majeure Policy.
